The Business Associate screen allows users to view and maintain information about business associates.

[edit] View BAs

Click image:retrieve.jpg to retrieve business associates.
Select an associate from the list to view details.
Use the search fields at the top to narrow the search results.
Click Image:Clear.jpg to reset the data on the screen.

[edit] Functionality

Using a respective tab, users may enter customer details and associations.

[edit] Main

Use the Main tab to enter general information about the customer as well as to specify Asset Association.

[edit] Contact

Use the Contact tab to view associated contacts and to specify Default Contacts. Contact association is done on the Contact tab.

[edit] Security

Use the Security tab to view associated contacts' security roles. The roles are set up on the Contact tab.

[edit] Credit

Use the Credit tab to view and update financial details.

[edit] History

Use the History tab to view the history of BA associations.

[edit] Comment

Use the Comment tab to view and maintain BA comments.

[edit] Add BAs

Step 1: Create a new BA.

  • Click image:New.jpg.
  • Fill out required fields.
  • Click image:Submit.jpg


Step 2: Associate to an asset.

  • To associate to a single asset, click the [New] button, specify asset, affiliation type and date and click image:Submit.jpg.
  • To associate to all assets, click the [All] button, update dates and affiliation type, if necessary and click image:Submit.jpg.

This step must be completed before a contact BA/Asset association may be set up.

Step 3: Set up default contacts.

  • Navigate to the Contact tab.
  • To set up a default internal contact, click the [Internal Default Contact] button. To set up a default external contact, click the [External Default Contact] button.
  • In the pop up window, click [New].
  • Select the contact.
  • Click [Submit]. Close the pop up window.
  • Click image:Submit.jpg.

An external contact must have an association to the selected BA and an asset before it can be set up as a default external contact.
An internal contact must have a BA/Asset association with a pipeline before it can be set up as a default internal contact.


Step 4: Enter Comments.

  • Navigate to the Comment tab.
  • Click image:New.jpg.
  • Enter the comment.
  • Click image:Submit.jpg


[edit] Update BAs

Follow the steps listed above to update a BA.

[edit] Deactivate BAs

To deactivate a business associate, change the Effective End Date accordingly.


[edit] FIELDS

  • BA Name - Full name under which business associate conducts business.
  • Abbreviated Name - Business Associate's abbreviated name.
  • Type - Type of business associate.
  • BA Number - System-assigned ID number.
  • Legal Entity Type - Legal form under which the BA conducts business.
  • DUNS Number - The Dun & Bradstreet number used for BA identification.
  • Incorporation State - The state in which the legal entity is incorporated as a business.
  • Effective Begin/End Date - Effective date range.
  • Financial Number - Customer service number assigned by the credit department.
  • Tax ID Number - IRS assigned unique identifier.
  • Online Agmt Sent Date - Date when online agreement between pipeline and customer was sent to customer.
  • Online Agmt Exec Date - Date when the online agreement was executed.
  • URL - Business associate's website.
  • Abbr Asset Name - Abbreviated name of the asset to which the BA is associated.
  • Affiliate Type - Type of affiliation.


  • Last Name - Contact’s last name.
  • First Name - Contact’s first name.
  • MI - Contact’s middle initial.
  • Login Name - Contact’s user ID used for logging onto the system.
  • Agent Flag - Specifies if the BA contact is an agent.
  • Job Title - Contact’s job title.
  • Primary BA - Specifies if the associate is a primary BA for the contact.
  • Primary Phone - Contact’s primary phone number.
  • Primary Fax - Contact’s primary fax number.
  • Primary Email - Contact’s primary email address.
  • Effective Begin/End Date - Effective date range.
  • Business Area - Displays the area to which the contact has access.
  • Role - Shows what level of access the contact has for a specified business area.


  • Date of Last Review - Date when the credit information was reviewed last time.
  • Date of FY End Financial - Fiscal year end date.
  • High Bill - Highest amount billed.
  • 12 Month Average Bill - Average amount billed in the last 12 months.
  • Unsecured Credit Limit - Customer's unsecured credit limit.
  • Credit Assurance - Total credit assurance.
  • Deposit Amount - Total deposit amount.
  • Total Available Limit - Total available credit.
  • Total Outstanding Balance - Total amount owed.
  • Release Capacity Exposure - Quantity required for capacity releases.
  • Current Exposure - Total amount of all Submitted and Approved contracts on the specific asset.
  • Value of Gas - Total amount flown on all Submitted and Approved contracts on the specific asset.
  • Total Credit Consumed - Sum of release capacity exposure, current exposure, value of gas and transaction charges.
  • Total Credit Remaining - Total available limit less total credit consumed.


  • Contracted Amt - Total amount of all contracts on the specific asset.
  • Contract Reserved Amt - Total amount of all Submitted and Approved contracts on the specific asset.
  • Contract Required Amt – Total amount of all Executed and Terminated contracts on the specific asset..
  • Cap Release Reserved Amt – Total amount of all Submitted and Approved replacement contracts on the specific asset.
  • Cap Release Required Amt – Total amount of all Executed and Terminated replacement contracts on the specific asset.
  • Transaction Charges - Contractual transaction charges.


  • Comment - Text.
  • Visibility - Comment visibility to internal/external users.
  • Comment By - ID of the user who entered the comment.
  • Comment Date - Timestamp.
