The Contact screen allows users to view and maintain information about customer contacts.

[edit] View Contacts

Click image:retrieve.jpg to retrieve contacts.
Select an entry from the list to view details.
Use the search fields at the top to narrow the search results.
Click Image:Clear.jpg to reset the data on the screen.

[edit] Functionality

Using a respective tab, users may enter customer details and associations.

[edit] Main

Use the Main tab to enter general information about the customer contacts as well as to specify Asset Association and Asset BA Association.

[edit] Address

Use the Address tab to view and associate addresses.

[edit] Profile

Use the Profile tab to edit contact information and set up notification.

[edit] Security

Use the Security tab to view security details.

[edit] Comment

Use the Comment tab to view and maintain contact comments.

[edit] Add Contacts

Step 1: Create a new contact.

  • Click image:New.jpg.
  • Fill out required fields.
  • Click image:Submit.jpg


Step 2: Associate to a BA.

  • Click [New] at the tip of the BA Association matrix.
  • Select the BA and specify relationship details.
  • Click image:Submit.jpg.


Step 3: Add Asset/BA Association.

  • Select a BA from the BA Association matrix.
  • To associate to a single asset, click the [New] button at the top of the Asset BA Association matrix, specify asset, affiliation type and date and click image:Submit.jpg.
  • To associate to all assets, click the [All] button, update dates and affiliation type, if necessary and click image:Submit.jpg.

Selected BA must have a valid association to the desired Asset for Asset BA Association to be saved successfully.

Step 4: Add address.

  • Navigate to the Address tab.
  • Click the [New] button at the top of the matrix.
  • Select the address from the list.
  • Click image:Submit.jpg.

Associations may be created between existing contacts and address. An address may be entered on the Address tab.

Step 5: Set up profile.

  • Navigate to the Profile tab.
  • Click the [New] button at the top of the Profile Information matrix.
  • Select the profile type, enter required parameters and click image:Submit.jpg.
  • To set up a notification, select a desired entry from the profile type matrix.
  • Click the [New] button at the top of the Associated Notification Type matrix.
  • Select desired notification and click image:Submit.jpg.


Step 6: Add comments.

  • Navigate to the Comment tab.
  • Click [New].
  • Enter the comment.
  • Click image:Submit.jpg


[edit] Update BAs

Follow the steps listed above to update a BA.

[edit] Deactivate BAs

To deactivate a business associate, change the Effective End Date accordingly.


[edit] FIELDS

  • Last Name - Contact’s last name.
  • First Name - Contact’s first name.
  • Middle Initial - Contact's middle initial.
  • Nickname - Contact's nickname.
  • Prefix/Suffix - Contact's prefix/suffix.
  • Login ID - Contact’s user ID used for logging onto the system.
  • Internal Contact - Indicates contact's association with the pipeline.
  • Commercial Contact - Indicates whether the contact is a commercial entity.
  • Effective Begin/End Date - Effective date range.


  • BA Name - Full name under which business associate conducts business.
  • BA Number - System-assigned ID number.
  • Agent - Specifies if the contact is an agent.
  • Job Title - Contact’s job title.
  • Primary BA - Specifies if the associate is a primary BA for the contact.
  • Abbr Asset Name - Abbreviated name of the asset to which the BA is associated.
  • Invoice Method - Invoice method used for the selected BA on the specified asset.
  • Primary Contact - Indicates whether the contact is a primary for the selected BA.


  • Address Type - Primary use for the address.
  • Address - Physical address.
  • Profile Type - Method of contact.
  • Value - Phone, fax or pager number or email address.
  • Notification Type - Types of notifications associated with the specified profile.
  • Asset - Pipeline segment.
  • Business Area - Displays the area to which the contact has access.
  • Role - Shows what level of access the contact has for a specified business area.


  • Comment - Text.
  • Visibility - Comment visibility to internal/external users.
  • Comment By - ID of the user who entered the comment.
  • Comment Date - Timestamp.
